Invoices handled, orders in sight: Why our new AI is a true milestone for IMSLOT.
The digital transformation of the logistics industry requires innovative approaches to efficiently manage large volumes of data. With the first-ever implementation of advanced on-premises AI methods for the automated analysis and categorization of texts, emails, PDFs, and Excel files, we are reaching a significant milestone in our processes. Our new concept graphic illustrates this technological advancement: the precise, AI-powered extraction and structuring of business-relevant data in the transportation sector.
In modern transportation management, the timely processing of shipping and business documents is a critical success factor. Every day, we receive countless documents in a wide variety of formats, and manually reviewing and assigning them to the respective shipping orders ties up significant resources. To speed up these processes and minimize sources of error, we are now utilizing a highly advanced AI methodology that not only captures document content but also understands and processes it within the logistics context. Everything is processed and managed technically in-house.
Phase 1 Successfully Implemented: Automated Invoice Processing
The first step in this technology initiative has already been successfully implemented: the automated processing of shipping invoices. The local AI is capable of precisely identifying relevant metadata—such as invoice amounts, senders, service periods, and associated order numbers—regardless of the document’s layout. The data is then processed directly in our systems without the need for manual entry. This ensures complete documentation and significantly speeds up administrative workflows.
The Latest Enhancement: Intelligent Capture of Order Documents
Building on these solid results, the system is already in its next phase of development. The current focus is on integrating order documents and shipping orders.
The challenge here is the wide variety of document structures used by our customers and partners. Through continuous learning processes (machine learning), the AI adapts to complex table structures, specific free-form text, and different layouts. The system immediately identifies which shipment an incoming order document belongs to, extracts the operational data, and automatically links it to the transportation management system. The goal is a fully integrated, digital process chain from order receipt to final billing.
The benefits for our logistics processes and partnerships:
Optimized turnaround times: Automated data availability significantly shortens the planning and processing phases of shipments. Highest data quality: Automated validation processes minimize the error rate during data transmission. Efficient use of resources: Our logistics experts are relieved of repetitive administrative tasks and can focus on proactively managing and optimizing supply chains.
The introduction of this AI methodology is a key step for our company toward data-driven and future-proof logistics. We are excited to be part of this process and will continue to refine our systems to further maximize efficiency and service quality for our partners.
